New - Expanded Permissions Framework for Targeted Portfolio Management
In this release, we've expanded the permissions model to support more targeted and flexible portfolio management by introducing two new roles: Portfolio Administrators and Portfolio Viewers.
Project Administrators have always been granted access to all projects across the application, giving them full visibility and control. This level of access is typically appropriate for heads of PMO, who need oversight across all projects to ensure alignment and resource optimisation. However, in larger organisations or complex environments, a more focused approach to access and control is often needed, which is where our new roles come in.
Portfolio Administrators are granted administrative access to all projects within a specific portfolio they oversee. This means they can view, update, and manage project details, including financials and resource allocation, but they do not have permission to alter project-specific configurations. This role is ideal for individuals who are responsible for managing the successful delivery and performance of multiple projects, ensuring consistency and strategic alignment across the portfolio.
Portfolio Viewers can view all projects within their portfolio, offering visibility into project details such as progress, risks, and key milestones. However, they are only able to update or modify the projects they directly manage. This role is ideal for stakeholders or team members who need to monitor progress across an entire portfolio but do not require editing rights on projects beyond their own remit.
Project administrators can set the portfolio administrators and viewers by navigating to the portfolio management page and listing the names of the administrators and viewers for each portfolio.
New Feature - Executive Project Roadmap Dashboard
This release includes the addition of a new Executive Project Roadmap Dashboard which includes a Gantt chart representation of the project roadmap, displaying key information such as:
Project Status Indicators: Each project is tagged with a RAG (Red, Amber, Green) status to quickly identify the current health of the project. This helps users prioritise attention to projects needing intervention.
Completion Percentage: The dashboard also shows the completion percentage for each project, making it easier to assess overall progress and identify any deviations from plan.
Timeline Overview: The Gantt chart provides a comprehensive view of project timelines, including start and end dates, allowing for easy identification of overlapping projects and planning resource allocation more efficiently.
Enhancements / Fixes
Resource Plan Bulk Edit: Fixed an issue where department and team values were not reset correctly when the division value was changed.
Status Report Frequency: Addressed an issue where the report frequency was incorrectly reset to 0 after updates to project metadata.
RDB Upload Feed: Enhanced the RDB upload feed to handle cases where the user’s external reference differs from the username.
Flex Schedule: Corrected propagation of resource allocations to flex schedule tasks, ensuring accurate project community allocations.
DevOps Integration: Fixed an issue where saving a card with a hyperlink attachment was not updating the corresponding work item in DevOps.
2nd October Patch Release
Enhancements / Fixes
- Filter Impacts by RAG Status: We've added the ability to filter risks and issues by their RAG status directly from project dashboards. You can now view impacts with Red, Amber, or Green status using the filter menu.
- Gantt View Accessibility: A new module has been included to make Gantt charts compatible with assistive technologies, improving accessibility for users with disabilities and enhancing overall usability for a broader audience.
- Dependencies Export Fix: Resolved an issue where incoming and outgoing dependencies promoted to the dashboard were not being exported to Word or PowerPoint when reports were run from the project workspace.
Board Actions Attachments in DevOps/Jira Integration: Board actions with attachments that had no display name now correctly sync to Jira/DevOps. The filename will automatically be used as the display name for integrated boards to ensure proper syncing.
Integration Move to Archive Error Logging: Improved error logging related to the integration's move to archive functionality, ensuring smoother logging and tracking of issues.
