Sending Meeting Agenda and Meeting Minutes via Email

The ability to distribute the meeting agenda and meeting minutes to your meeting members is a crucial part of running a meeting. It is now possible to send the meeting agenda and meeting minutes via email to meeting members, Fluid users and stakeholders outside of Fluid or the organisation. Simply select the Send Agenda Email or Send Minutes Email option on the left-hand panel, in your meeting sessions.

In this article we will explain how to send your meeting agenda & meeting minutes via email. 




Sending Meeting Agenda & Minutes via Email 


The meeting agenda can be populated and sent out via email before the meeting. This helps the meeting members prepare and contribute to the meeting ahead of time. Navigate to the left-hand panel in the meeting session and select the "Send Agenda Email" option. A dialog box will appear (See below).




Meeting minutes account for the meeting content that includes the tasks assigned to members and can be sent out during or after a meeting. Simply navigate to the left-hand panel in the meeting session and select the Send Meeting Email option. A dialog box will appear (see below). 




Note: the option to send the meeting agenda via email will only appear before the meeting begins. Once the meeting commences, the option will update to send meeting minutes, as the meeting has started. 




In the dialog, the following options will appear which the agenda/minutes can be sent to: 


1.        Send to Meeting Members? - displays the list of all meeting owners and members as set up for the meeting series. You can choose to either send to all the meeting owners and members, select specific recipients, or unselect all.


2.        Other Fluid Users - allows you to send the agenda/minutes to other individuals in the organisation who are not included in the meeting series but have a Fluid account..


3.        Non Fluid Users - allows you to list/add external stakeholders' (non Fluid users) email addresses that the                                 agenda/minutes should be sent to.
