20th June Patch release


Enhancements

  • Scheduled reports can now be accessed from both the Data Administration and Financial Administration pages. You have the option to either initiate the job for report generation or directly request a report download.
  • We've enhanced character support in custom property values to now include Spanish characters.
  • We've enhanced the user experience by improving the in-app notifications related to report downloads.


Fixed

  • Corrected the Excel export for project funding to include all data, not just current fiscal year, when triggered from project workspace, dashboard or with a renamed funding label. 
  • Resolved a permission issue that occurred during the bulk editing of project impacts. 
  • Enhanced the stability of scheduled reports to ensure consistent email delivery, even when running concurrently. 
  • Addressed a display issue with due dates on board cards when board columns were added or removed.

Fixed


  • Fixed an issue with custom property caching that resulted in incorrect custom property values to be seen as part of the property definition.
  • Fixed the timesheet performance team percentage (approved timesheets were not included in the calculation).
  • Improved bulk edit uploads to ensure that only valid values for option, multi-option and valued option custom properties can be saved.

New  - Enhanced Action List View for managing tasks effectively


This new feature offers a more efficient and seamless way to manage all project actions from a single location. Here's how:

  1. Centralised Task Management: The new full page view provides a single, centralized place for managing all your project actions. You can view all pending or closed actions, assign new tasks or update the task's status, ownership or deadlines. This not only simplifies your task management process but also boosts your decision-making efficiency.

  2. Instant Visibility of Task Hierarchy: The new design provides an immediate, comprehensive view of the project's tasks and their subtasks. This enables effortless visualisation of the entire work hierarchy at a glance, giving you a clear insight into the work breakdown and progress for each task in your project.

  3. Simplified Subtask Creation: Creating subtasks has never been easier. Add subtasks directly from the main action list, eliminating the need to navigate through individual action items. With a single click, you can create new actions, decisions, or tasks, allowing you to manage all your project actions in one place.

  4. Quick Complete Function: This function empowers you to swiftly mark off completed subtasks without the need to navigate into individual items, further improving your productivity.





New - Effective Capacity Planning and Project Cost Control


What is the current and future team capacity? Are there any resources who are overallocated or underallocated now or in future months? What is the variance between the initial resource allocation forecast and the actual resource usage on the projects? How is this impacting project costs? Here are some of the questions that project managers or PMO team members need to be able to answer easily in order to manage their resource pool and project costs effectively.


To better answer these questions, we have enhanced our resource capacity dashboard with a distinct focus on resource utilisation, capacity planning, and project cost control. The new component offers a greater level of detail and clarity in resource allocation and utilisation, enabling you to ensure optimal utilisation of your team whilst controlling project costs more effectively.


The new component provides four distinct views — Headcount, %, Hours, and Delta — each aimed at addressing a critical aspect of resource management and capacity planning. 


Headcount View: This view displays resource allocation (forecast allocation for open months and actual allocation for closed months) in terms of headcount. This is a great view to see at a glance the total headcount allocation and how it compares with the maximum headcount value. 



% View: This view offers a percentage-based representation of resource allocation relative to a resource's maximum potential allocation. It helps to quickly identify if a resource is underutilised (e.g., allocated at 50% of their capacity) or overallocated (e.g., allocated at 110% of their capacity). 



Hours: The 'Hours' view shows the forecasted and booked hours for each resource broken down by projects. By detailing the exact number of hours each resource is expected to work (forecasted) and the actual hours worked (booked), it gives you a better grasp of how your resources are actually being used across different projects. This view also helps in fine-tuning task estimates and improving accuracy in project planning. 



Delta: The 'Delta' view displays the difference between forecasted and booked hours. It provides a clear view of discrepancies between planned resource allocation and actual utilisation, enabling PMs and PMOs to address variances proactively. This view is essential for improving future forecasts, managing project risks associated with resource allocation, and enhancing overall project performance by ensuring resource utilisation aligns more closely with projections.





New - Milestone Completion Notification


As part of our ongoing commitment to enhance project management efficiency, this new feature is designed to keep project managers and editors in the loop at all stages of the project lifecycle. 


Both project managers and project editors involved in managing projects will now receive email notifications whenever phases or milestones are completed. They'll also be alerted if a previously completed phase or milestone is reverted to 'in progress' status.


This ensures that all relevant stakeholders are promptly informed about important project updates, enabling a quicker response to changing circumstances and further streamlining the project management process.


Note that you will only receive the email notification if you have opted in for email notifications.




Fixed

  • Fixed an issue with shared list option value containing the comma character which resulted in data being seen twice.
  • Constraints on custom property drag and drop functionality have been removed.
  • Some small UI fixes are included too.
