Efficient resource management is paramount for successful project execution. As a project manager, you often encounter situations where resource roles are defined before specific individuals are assigned. Fluid's placeholder functionality empowers you to set up initial placeholder allocations, providing flexibility for later refinement when the actual resources are identified.
It falls upon the project manager to guarantee that placeholders are seamlessly replaced with named resources before they become crucial for project activities. This proactive approach minimises the risk of project delays and helps maintain the momentum of your project.
This article will cover how project managers can replace placeholders to named resources for their project activities.
Replacing the placeholder with a named resource
At any point after finalising the resource list for the project, you can edit the placeholder and replace it with the defined resource that will be performing activities during that period.
Navigate to the community section of the project workspace. Use the Edit Allocation option to access the resource allocation page.
On the Manage Allocation Plans page, locate the placeholder you wish to replace. Click on the settings wheel icon next to the placeholder's title. Choose the Move Allocation option to initiate the replacement process.
A dialog box will appear. Search for the named resource that will be taking over the allocation. Choose the project role the resource will be fulfilling and confirm the replacement by reviewing the allocation details. Adjust the allocation as needed to align with the new resource's capabilities. Click Confirm to save the changes.
Once you have confirmed the replacement of allocation from placeholder to named resource, you will see the changes in your manage allocation plan page. Ensure you select Save before exiting this page.
The project now has a dedicated, named resource seamlessly integrated into the allocation plan.
